1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Sensitive Information. We do not intentionally seek sensitive information. However, if you connect a Gmail account, emails we access to create reservations may contain sensitive information that you or third parties included in those messages. The same may apply if you voluntarily paste email or message content into our optional AI Form Mapping feature.

Information from Google (Gmail). If you choose to connect your Gmail account to LimoExpress, we receive Google user data as described in Section 5 (Google Gmail Integration) below. This connection is optional and requires your explicit authorisation via Google OAuth.

Content you submit for AI Form Mapping (optional). If you use our optional AI Form Mapping feature, you may paste or enter text from an email, chat message, or other free-form notes. That content is processed as described in Section 6 (AI Form Mapping and OpenAI Processing).

Payment integration accounts (optional). If you connect Stripe Connect and/or Square so that LimoExpress can generate payment links for your customers, account identifiers and payment-related information may be exchanged with those providers as described in Section 7 (Stripe Connect and Square Payment Integrations).

Zapier integration (optional). If you connect Zapier, reservation details and related data may be sent to and received from Zapier (and apps you connect through Zapier) as described in Section 8 (Zapier Integration).

Twilio SMS integration (optional). If you connect Twilio, we may store your Twilio credentials and share SMS content and recipient phone numbers with Twilio to send messages as described in Section 9 (Twilio SMS Integration).

Booking.com integration (optional). If you connect Booking.com, reservation details may be fetched into LimoExpress and driver/status information may be sent to Booking.com as described in Section 10 (Booking.com Integration).

HolidayTaxis integration (optional). If you connect HolidayTaxis, we may store your organisation’s HolidayTaxis credentials and exchange reservation and related data with HolidayTaxis as described in Section 11 (HolidayTaxis Integration).

Application Data. If you use our application(s), we also may collect the following information if you choose to provide us with access or permission:

  • Push Notifications. We may request to send you push notifications regarding your account or certain features of the application(s). If you wish to opt out from receiving these types of communications, you may turn them off in your device's settings.

  • GPS Location Coordinates. We may request your approval for GPS tracking for more optimised performance of your company (more accurate rides planning). System collects coordinates (latitude and longitude), user id and the time of the recording, even when user is using the device (in the background). System automatically removes the recordings older than 7 days. If you wish to opt out the GPS tracking, you may turn it off in your device's settings or app settings.

  • Browser-Based Location Detection. We may use or collect your approximate location through your browser to determine regional pricing and provide relevant services. The system detects your location based on your IP address or browser settings. This process is automated and does not store precise coordinates.

  • Gmail Access (optional). With your consent, we may access new emails in a connected Gmail inbox to detect booking or transfer requests and create reservations in LimoExpress. See Section 5 for full details on how Google user data is accessed, used, stored, and shared.

  • AI Form Mapping (optional). You may paste or enter email/message content so that LimoExpress, using the OpenAI API, can extract booking details and map them into a reservation form. See Section 6.

  • Stripe Connect / Square (optional). You may connect your Stripe and/or Square account so LimoExpress can generate payment links for your customers. See Section 7.

  • Zapier (optional). You may connect Zapier so LimoExpress can send and receive reservation details and related data with Zapier and the apps in your Zaps. See Section 8.

  • Twilio SMS (optional). You may enter and save your Twilio credentials so LimoExpress can send SMS messages (for example ride updates) via your Twilio account. See Section 9.

  • Booking.com (optional). You may connect Booking.com so LimoExpress can fetch new reservations and related details, and send driver information (including name, phone, and GPS location) and status updates back to Booking.com. See Section 10.

  • HolidayTaxis (optional). You may enter and save your organisation’s HolidayTaxis credentials so LimoExpress can fetch and sync reservations for that organisation separately. See Section 11.

This information is primarily needed to maintain the security and operation of our application(s), for troubleshooting, and for our internal analytics and reporting purposes.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To determine regional pricing and provide location-based services. We may collect your approximate location using your IP address or browser settings to display the most relevant pricing for your region. This ensures that you receive accurate service costs based on your geographical area. This data is not stored or used for precise location tracking.
  • To create reservations from Gmail (optional feature). If you connect your Gmail account, we process email content and related metadata solely to identify transfer/booking requests and create corresponding reservations in LimoExpress. See Section 5.
  • To map pasted email or message content into reservation forms (optional AI Form Mapping feature). If you submit text to this feature, we process that content (including by sending it to OpenAI) to extract booking-related fields and pre-fill reservation forms. See Section 6.
  • To generate payment links via Stripe Connect or Square (optional features). If you connect these providers, we process and share payment-related information needed to create and track payment links for your customers. See Section 7.
  • To automate workflows via Zapier (optional feature). If you connect Zapier, we process and exchange reservation details and related data with Zapier so your Zaps can send data out of LimoExpress and/or create or update reservations in LimoExpress. See Section 8.
  • To send SMS messages via Twilio (optional feature). If you connect Twilio, we store your Twilio credentials and process recipient phone numbers and message content to send SMS through your Twilio account. See Section 9.
  • To sync reservations with Booking.com (optional feature). If you connect Booking.com, we fetch reservation details into LimoExpress and may send driver details (name, phone, GPS location) and status updates to Booking.com. See Section 10.
  • To sync reservations with HolidayTaxis (optional feature). If you connect HolidayTaxis, we store your organisation’s HolidayTaxis credentials and use them to fetch and sync reservations and related details for that organisation. See Section 11.
  • To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual’s vital interest, such as to prevent harm.

3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?

In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e. legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfil our contractual obligations, to protect your rights, or to fulfil our legitimate business interests.

The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:

  • Consent. We may process your information if you have given us permission (i.e. consent) to use your personal information for a specific purpose. You can withdraw your consent at any time. Learn more about withdrawing your consent.
  • Legal Obligations. We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.
  • Vital Interests. We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.

4. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In Short: We may share information in specific situations described in this section and/or with the following third parties.

We may need to share your personal information in the following situations:

  • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
  • When we use Google Maps Platform APIs. We may share your information with certain Google Maps Platform APIs (e.g. Google Maps API, Places API).
  • AI Form Mapping and other OpenAI-powered features [OpenAI]. If you use optional AI features (including AI Form Mapping or LimoExpress GPT), content and related data you submit or enable for those features may be shared with OpenAI so the feature can run. Details for AI Form Mapping are in Section 6. For LimoExpress GPT, information about reservations, drivers, invoices, costs, and vehicles may be shared when you activate that integration; further processing by OpenAI is then subject to OpenAI’s terms and privacy practices.
  • Google Gmail API. If you connect Gmail, Google provides us with access to authorised email data under Google’s OAuth consent flow. How we handle that Google user data is described separately in Section 5. Google user data obtained through Gmail scopes is not sold and is not shared with advertising platforms, data brokers, or information resellers.
  • Stripe Connect and Square. If you connect Stripe and/or Square, we share payment-related information with those providers so payment links can be created and payments processed to your connected merchant account. See Section 7.
  • Zapier. If you connect Zapier, we exchange reservation details and related data with Zapier so your automations can send and/or receive bookings and related information. Data may then be shared by Zapier with the third-party apps you choose in your Zaps. See Section 8.
  • Twilio. If you connect Twilio, we share SMS recipient phone numbers, message content, and related delivery data with Twilio, and we store your Twilio credentials so messages can be sent through your Twilio account. See Section 9.
  • Booking.com. If you connect Booking.com, we receive reservation details from Booking.com and may share driver information (including name, phone number, and GPS location) and reservation status updates with Booking.com. See Section 10.
  • HolidayTaxis. If you connect HolidayTaxis, we store your organisation’s HolidayTaxis credentials and exchange reservation and related operational data with HolidayTaxis so bookings can be fetched and synced for that organisation. See Section 11.

5. GOOGLE GMAIL INTEGRATION AND LIMITED USE OF GOOGLE USER DATA

In Short: If you choose to connect Gmail, LimoExpress may read new emails in that inbox to detect booking requests and create reservations. Our use of information received from Google Workspace / Google APIs adheres to the Google User Data Policy, including the Limited Use requirements.

Limited Use affirmation. LimoExpress’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. The use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.

What this feature does

LimoExpress offers an optional Gmail integration that allows authorised users of a limousine / transfer company account to grant LimoExpress access to a Gmail mailbox. When enabled, LimoExpress monitors new incoming emails and uses relevant email content to create reservations (bookings) in the LimoExpress platform. This is an approved productivity use case: using information from emails to automate travel / transfer booking workflows for the benefit of the connecting user and their organisation.

What Google user data we access

When you connect Gmail via Google’s OAuth consent screen, depending on the permissions you grant, we may access:

  • Email message content (subject, body text, and relevant message details needed to identify a booking request)
  • Sender and recipient information (names and email addresses)
  • Email metadata (for example timestamps, message identifiers, and labels/status needed to process new messages)
  • OAuth tokens required to maintain the authorised connection securely

We request only the Gmail permissions necessary to provide this reservation-creation feature. Connecting Gmail is optional; you can use LimoExpress without granting Gmail access.

How we use Google user data

We use Gmail / Google user data solely to:

  • Detect new emails that appear to contain transfer or booking requests
  • Extract booking-related details (such as pickup/drop-off locations, date/time, passenger information, and similar reservation fields)
  • Create or propose corresponding reservations in your LimoExpress account
  • Operate, maintain, troubleshoot, and improve this user-facing Gmail-to-reservation feature

We do not use Google user data obtained through Gmail scopes for advertising, retargeting, or interest-based ads; to determine credit-worthiness or for lending; or to create, train, or improve generalised machine learning or artificial intelligence models. Any processing used to parse emails for reservations is limited to providing this user-facing feature for your account.

How we store and protect Google user data

Email data and OAuth credentials associated with the Gmail integration are stored securely and protected with organisational and technical measures appropriate to the sensitivity of the data, including encryption in transit (for example HTTPS) and encryption of sensitive credentials at rest where applicable. Access within LimoExpress is limited to what is needed to provide the feature to your organisation.

Sharing and human access (Limited Use)

Consistent with Google’s Limited Use requirements:

  • We do not sell Google user data, and we do not transfer it to advertising platforms, data brokers, or information resellers.
  • Transfers of Google user data are limited to what is necessary to provide or improve this user-facing feature (and only with your consent where required), for security purposes (for example investigating abuse), to comply with applicable law, or as part of a merger, acquisition, or sale of assets after obtaining explicit prior consent from the user where required by Google’s policy.
  • We do not allow humans to read Google user data obtained via Gmail scopes unless: (1) we have your affirmative agreement to view specific messages or data; (2) it is necessary for security purposes (for example investigating a bug or abuse); (3) it is necessary to comply with applicable law; or (4) the data is aggregated and anonymised and used for internal operations in accordance with applicable law.

Retention, disconnection, and deletion

We retain Gmail-derived data only as long as needed to provide the Gmail integration and related reservations, or as otherwise required by law. You may disconnect the Gmail integration at any time in LimoExpress account / integration settings. You may also revoke LimoExpress’s access from your Google Account permissions page (https://myaccount.google.com/permissions). After disconnection or revocation, we will stop accessing new Gmail data and will delete or anonymise stored Gmail-derived data that is no longer needed to operate your Services, subject to backups and legal retention obligations. Reservation records already created in LimoExpress from email content remain part of your account data unless you delete them or request deletion under applicable privacy laws.

Your choices and requests

You can refuse or withdraw Gmail access at any time as described above. To request review, update, or deletion of personal information (including Gmail-derived data we hold), contact us at [email protected] or use the data subject access request process described in Section 22.

6. AI FORM MAPPING AND OPENAI PROCESSING

In Short: AI Form Mapping is optional. If you paste or enter email/message content, LimoExpress may send that text to OpenAI so it can extract booking details and map them into a reservation form.

What this feature does

LimoExpress offers an optional AI Form Mapping feature (also described as an AI reservation generator). When you use it, you can paste or type content from an email, chat message (for example WhatsApp, SMS, or similar), or free-form notes. LimoExpress sends that content to OpenAI’s API to identify booking-related information (such as pickup and drop-off locations, date and time, passenger details, and similar fields) and map those details into a reservation form in LimoExpress for you to review and save.

This feature is optional. You can create reservations manually without using AI Form Mapping.

What data is shared with OpenAI

When you submit content to AI Form Mapping, the text you provide (and any personal data contained in it, such as names, phone numbers, email addresses, locations, or travel details) is transmitted to OpenAI for processing so the form can be filled. You should only submit content you are authorised to process for your business purposes.

How we use this data

We use the submitted content and OpenAI’s output solely to:

  • Extract structured booking fields from unstructured text
  • Pre-fill or propose values in the LimoExpress reservation form
  • Operate, maintain, troubleshoot, and improve this optional user-facing feature

Mapped reservation data that you accept and save becomes part of your normal LimoExpress account data (for example reservations) and is handled under the other sections of this privacy notice.

OpenAI as a third-party processor / service provider

OpenAI processes the content you submit in order to provide the AI mapping response. Further handling of that content by OpenAI is subject to OpenAI’s applicable terms and privacy policy. LimoExpress does not sell the content you submit for AI Form Mapping to advertising platforms, data brokers, or information resellers.

Your choices

You control whether to use AI Form Mapping. If you do not want content shared with OpenAI for this purpose, do not submit text to the feature. To request review, update, or deletion of personal information we hold (including saved reservation data created with AI assistance), contact us at [email protected] or use the process in Section 22.

7. STRIPE CONNECT AND SQUARE PAYMENT INTEGRATIONS

In Short: Connecting Stripe Connect or Square is optional. If you connect either provider, LimoExpress may share payment-related data with that provider so you can generate payment links for your customers and receive payments to your own merchant account.

What these features do

LimoExpress offers optional integrations with Stripe Connect and Square. When enabled, authorised users of your organisation can generate payment links from LimoExpress (including from the platform and, where available, the mobile app) and send them to customers so customers can pay for rides or related charges. Payments are processed by Stripe or Square to your connected merchant / business account. These features are optional; you can use LimoExpress without connecting Stripe or Square.

What data we share with Stripe and Square

Depending on the provider you connect and the payment you create, we may share with Stripe and/or Square information needed to create, send, process, and reconcile payment links, such as:

  • Your connected account identifiers (for example a Stripe account ID or Square merchant/account identifiers)
  • Payment amount, currency, and description or reference (which may include reservation or invoice references)
  • Customer contact details you provide for the payment (for example name, email address, and phone number)
  • Status and metadata needed to display payment results in LimoExpress (for example paid, failed, or pending)

Card numbers and other sensitive payment credentials are entered by the paying customer on Stripe’s or Square’s checkout / payment pages and are processed by those providers. LimoExpress does not intend to collect or store full payment card numbers for these connected payment flows.

How we use this data

We use and share this information solely to:

  • Connect your Stripe Connect and/or Square account to LimoExpress
  • Generate and manage payment links on your behalf
  • Show payment status and related records in your LimoExpress account
  • Operate, maintain, troubleshoot, and improve these optional payment features

Independent payment providers

Stripe and Square are independent third-party payment service providers. When you connect an account or your customer completes a payment, their processing of personal and payment data is governed by their own terms and privacy policies (for example Stripe’s and Square’s published policies). Your relationship with Stripe or Square for merchant onboarding, payouts, fees, chargebacks, and compliance obligations is between you and that provider. LimoExpress is not the merchant of record for payments collected into your connected Stripe or Square account through these optional payment-link features.

Your choices

You may connect or disconnect Stripe Connect and/or Square in your LimoExpress organisation / integration settings. If you do not want payment-related data shared with these providers for payment links, do not enable the integrations and do not generate payment links through them. To request review, update, or deletion of personal information we hold in LimoExpress, contact us at [email protected] or use the process in Section 22.

8. ZAPIER INTEGRATION

In Short: Connecting Zapier is optional. If you connect it, LimoExpress may send reservation details to Zapier and receive reservation details from Zapier so your automations can create, update, or sync bookings with other apps you choose.

What this feature does

LimoExpress offers an optional Zapier integration that lets you connect LimoExpress to Zapier using your Zapier connection details (such as a Zapier ID or similar credentials provided when you set up the connection). Once connected, your Zaps may:

  • Send data from LimoExpress to Zapier (for example reservation details and related booking information), which Zapier can then pass to other apps in your Zap; and/or
  • Receive data from Zapier into LimoExpress (for example reservation or booking details from another app) so LimoExpress can create or update reservations and related records.

This feature is optional. You can use LimoExpress without connecting Zapier.

What data may be shared

Depending on how you configure your Zaps and which LimoExpress triggers/actions you use, exchanged data may include reservation and related details such as:

  • Pickup and drop-off locations, dates, and times
  • Passenger / customer names and contact details (for example email addresses and phone numbers)
  • Ride status, pricing or fare-related fields, vehicle or driver references, notes, and other booking fields available through the integration
  • Identifiers needed to create, update, or match reservations between systems

You control which Zaps you create and which third-party apps receive or send this data through Zapier.

How we use this data

We exchange this information with Zapier solely to:

  • Enable your authorised Zapier connection
  • Send reservation and related data out of LimoExpress according to your Zap configuration
  • Receive reservation and related data into LimoExpress to create or update bookings
  • Operate, maintain, troubleshoot, and improve this optional automation feature

Zapier and connected apps

Zapier is an independent third-party automation platform. When data leaves LimoExpress through Zapier, further processing by Zapier and by any apps you connect in your Zaps is governed by those parties’ terms and privacy policies. LimoExpress does not control how those third-party apps use data after it is delivered by Zapier. You are responsible for configuring Zaps appropriately and for ensuring you have a lawful basis to share personal data of customers, passengers, drivers, or other individuals through Zapier.

Your choices

You may connect or disconnect Zapier in your LimoExpress organisation / integration settings. If you do not want reservation data shared with Zapier or apps connected through it, do not enable the integration and disable or delete related Zaps. To request review, update, or deletion of personal information we hold in LimoExpress, contact us at [email protected] or use the process in Section 22.

9. TWILIO SMS INTEGRATION

In Short: Connecting Twilio is optional. If you enter your Twilio credentials, LimoExpress stores them so it can send SMS messages (for example ride updates) through your Twilio account, and shares recipient phone numbers and message content with Twilio for delivery.

What this feature does

LimoExpress offers an optional Twilio SMS integration. When enabled, authorised users of your organisation (such as dispatchers, drivers, or managers) may send SMS messages from LimoExpress — for example about ride status, pickup details, or schedule changes — using your Twilio account. To use the feature, you enter your Twilio credentials in LimoExpress. This feature is optional; you can use LimoExpress without connecting Twilio.

What data we collect and share

When you use Twilio SMS integration, we may collect, store, and/or share:

  • Your Twilio credentials (for example Account SID, Auth Token, API keys, and related configuration such as a sending phone number or messaging service identifier), which you provide so LimoExpress can authenticate to Twilio on your behalf
  • Recipient phone numbers
  • SMS message content you choose to send
  • Delivery-related status or metadata returned by Twilio (for example sent, delivered, or failed), where available for display or logging in LimoExpress

How we use and store this data

We use this information solely to:

  • Connect and authenticate your Twilio account from LimoExpress
  • Send SMS messages you initiate (or that your organisation configures) through Twilio
  • Display or retain message/send history needed to operate and monitor the feature within LimoExpress
  • Operate, maintain, troubleshoot, and improve this optional SMS feature

Twilio credentials are stored so the integration can continue to send messages without re-entering them each time. We treat these credentials as sensitive account secrets and apply organisational and technical measures appropriate to protect them. You should only provide credentials for a Twilio account you are authorised to use.

Twilio as a third-party provider

Twilio is an independent third-party communications provider. SMS delivery and Twilio’s processing of phone numbers, message content, and related data are governed by Twilio’s terms and privacy policy. Message fees, throughput, compliance (including consent and anti-spam / telemarketing rules), and Twilio account obligations remain between you and Twilio. You are responsible for ensuring you have a lawful basis and any required consents to send SMS to recipients.

Your choices

You may connect, update, or disconnect Twilio credentials in your LimoExpress organisation / integration settings. If you do not want credentials stored or SMS data shared with Twilio through LimoExpress, do not enable the integration and remove any saved Twilio credentials. To request review, update, or deletion of personal information we hold in LimoExpress (including stored Twilio credentials where applicable), contact us at [email protected] or use the process in Section 22.

10. BOOKING.COM INTEGRATION

In Short: Connecting Booking.com is optional. If you connect it, LimoExpress may fetch new reservations and related details from Booking.com, and may send driver details (name, phone, GPS location) and status updates back to Booking.com.

What this feature does

LimoExpress offers an optional Booking.com integration. When enabled, LimoExpress may:

  • Fetch new reservations and reservation updates from Booking.com into LimoExpress, including booking details needed to manage the ride; and
  • Send information back to Booking.com, including assigned driver details (such as name and phone number), GPS location data related to the ride/driver, and reservation or ride status updates (for example accepted, rejected, in progress, completed, or similar statuses supported by the integration).

This feature is optional. You can use LimoExpress without connecting Booking.com.

What data we receive from Booking.com

Depending on the Booking.com integration and the reservation, data fetched into LimoExpress may include reservation and passenger/travel details such as:

  • Booking references and reservation identifiers
  • Pickup and drop-off locations, dates, and times
  • Passenger / customer names and contact details
  • Ride requirements, notes, pricing or fare-related fields, and other booking fields provided by Booking.com
  • Reservation status and related update metadata

What data we send to Booking.com

To operate the integration, LimoExpress may share with Booking.com:

  • Assigned driver name
  • Driver phone number
  • GPS location data associated with the driver and/or ride (for example live or recorded coordinates used to provide location updates)
  • Reservation / ride status updates and related operational metadata needed to keep Booking.com in sync

How we use this data

We exchange this information with Booking.com solely to:

  • Import and manage Booking.com reservations in LimoExpress
  • Allow your team to review, accept, reject, or otherwise handle incoming Booking.com requests where supported
  • Provide driver assignment, contact, location, and status updates back to Booking.com
  • Operate, maintain, troubleshoot, and improve this optional integration

Booking.com as a third-party provider

Booking.com is an independent third-party platform. Processing of reservation, passenger, driver, and location data by Booking.com is governed by Booking.com’s terms and privacy policy. You are responsible for ensuring you are authorised to connect your Booking.com account/partner access and to share driver and location data through this integration, including informing drivers where required by law.

Your choices

You may connect or disconnect Booking.com in your LimoExpress organisation / integration settings. If you do not want reservation data received from Booking.com or driver/location/status data shared with Booking.com through LimoExpress, do not enable the integration. To request review, update, or deletion of personal information we hold in LimoExpress, contact us at [email protected] or use the process in Section 22.

11. HOLIDAYTAXIS INTEGRATION

In Short: Connecting HolidayTaxis is optional. If you connect it, LimoExpress stores your organisation’s HolidayTaxis credentials so it can fetch and sync reservations for that organisation separately, and may exchange related booking, driver, vehicle, and location details with HolidayTaxis.

What this feature does

LimoExpress offers an optional HolidayTaxis integration. When enabled for an organisation, LimoExpress may:

  • Fetch new HolidayTaxis reservations and relevant updates into LimoExpress, including booking details needed to manage the ride; and
  • Synchronise related operational information with HolidayTaxis where supported, such as driver and vehicle details and pickup/drop-off location information, so reservation data stays accurate across systems.

This feature is optional. You can use LimoExpress without connecting HolidayTaxis.

Organisation credentials (stored per organisation)

To connect HolidayTaxis, you provide your HolidayTaxis client credentials (such as API keys, usernames, passwords, tokens, or similar account identifiers required by HolidayTaxis). LimoExpress saves these credentials for each organisation separately so that reservation fetching and synchronisation can run against that organisation’s own HolidayTaxis account and data, without mixing credentials or bookings across organisations.

We treat HolidayTaxis credentials as sensitive account secrets and apply organisational and technical measures appropriate to protect them. You should only provide credentials for a HolidayTaxis account your organisation is authorised to use.

What data may be exchanged

Depending on the HolidayTaxis integration and the reservation, exchanged data may include:

  • Your organisation’s stored HolidayTaxis credentials (used only to authenticate and operate the integration)
  • Booking references and reservation identifiers
  • Pickup and drop-off locations, dates, and times
  • Passenger / customer names and contact details
  • Driver and vehicle details needed for synchronisation
  • Reservation status and related update metadata
  • Other booking fields provided by HolidayTaxis and needed to manage the ride in LimoExpress

How we use this data

We use and exchange this information solely to:

  • Authenticate each organisation’s HolidayTaxis connection using that organisation’s saved credentials
  • Fetch and import HolidayTaxis reservations and updates into the correct LimoExpress organisation
  • Synchronise driver, vehicle, location, and related reservation details where supported
  • Operate, maintain, troubleshoot, and improve this optional integration

HolidayTaxis as a third-party provider

HolidayTaxis is an independent third-party platform. Processing of reservation, passenger, driver, vehicle, and related data by HolidayTaxis is governed by HolidayTaxis’s terms and privacy policy. You are responsible for ensuring you are authorised to connect your HolidayTaxis account and to share the data included in this integration.

Your choices

You may connect, update, or disconnect HolidayTaxis credentials in your LimoExpress organisation / integration settings. If you do not want credentials stored or reservation data exchanged with HolidayTaxis through LimoExpress, do not enable the integration and remove any saved HolidayTaxis credentials. To request review, update, or deletion of personal information we hold in LimoExpress (including stored HolidayTaxis credentials where applicable), contact us at [email protected] or use the process in Section 22.
